At Trade Mastermind, we’re looking for a dynamic, resourceful, and proactive Operations Event Manager who can bring our event space to life, crafting extraordinary events that leave a lasting impact on our customers.
The Operations Events Manager at Trade Mastermind will be responsible for overseeing the planning, execution, and post-event follow-up for over 20 construction-related events per month, including seminars, trade shows, training sessions, and client gatherings. This role requires an experienced event management professional with exceptional organizational skills, a creative mindset, and the ability to lead and inspire a team.
The Operations Events Manager will ensure that each event runs smoothly, aligns with the company’s brand, and delivers an exceptional experience for attendees, fostering brand loyalty and expanding business opportunities within the construction industry.
You will work closely with Sales and Marketing Management team to make sure all the Event goes relined we have the right attendance number also you will work with external stakeholders to create sponsorship and brand partnership opportunities.
Key Responsibilities
- Event Planning and Strategy
- Develop, plan, and execute a monthly calendar of 20+ events, ensuring each aligns with company objectives and brand values.
- Collaborate with internal stakeholders to define goals, themes, and content for each event, creating an engaging and valuable experience for attendees.
- Design event experiences that cater to different target audiences, including clients, industry partners, and potential leads.
- Budget Management
- Develop and manage budgets for each event, ensuring cost-effective practices without compromising on quality.
- Track expenses and optimize spending by negotiating with vendors, venues, and service providers.
- Ensure all events stay within budget while meeting or exceeding expected outcomes.
- Vendor and Venue Coordination
- Identify, select, and manage relationships with external vendors and venues to ensure timely delivery and quality of services.
- Negotiate contracts and manage logistics, including AV, catering, setup, and on-site coordination.
- Conduct site inspections and ensure venues are fully equipped to meet the event needs.
- Team Leadership and Management
- Support staff, providing guidance and support to ensure smooth event execution.
- Delegate tasks effectively, ensuring all aspects of the event (logistics, setup, promotion, and follow-up) are handled efficiently.
- Provide on-the-ground leadership during events, resolving issues and ensuring a high-quality experience for attendees.
- Marketing and Promotion
- Work closely with the marketing team to develop promotional strategies, content, and materials for each event.
- Oversee event promotion through various channels, including email, social media, websites, and industry partnerships.
- Ensure brand consistency in event marketing materials, signage, and online/offline presence.
- Event Execution and On-Site Management
- Oversee all aspects of event setup, execution, and teardown, ensuring all runs smoothly.
- Act as the main point of contact on-site, managing logistics, registration, vendor coordination, and attendee inquiries.
- Monitor event flow and ensure all speakers, presenters, and attendees are supported for a seamless experience.
- Post-Event Follow-Up and Reporting
- Coordinate post-event follow-ups, including surveys, attendee feedback, and leads hand-off to the sales team.
- Analyse event performance and provide reports on attendance, engagement and budget.
- Use feedback and metrics to make continuous improvements in event planning and execution.
Key Requirements
- Experience: 5+ years of event management experience, ideally within the construction, trade, or B2B industry. Experience managing a high volume of events monthly is essential.
- Skills:
- Strong project management skills with the ability to handle multiple events concurrently.
- Excellent communication, negotiation, and interpersonal skills.
- Proficiency in event management software, CRM platforms, and digital marketing tools.
- Analytical mindset with the ability to assess event performance and make data-driven improvements.
- Creative problem-solving and adaptability in dynamic, fast-paced environments.
Additional Preferred Qualifications
- Familiarity with the construction and trade industry or B2B event management.
- Experience in digital event formats (e.g., webinars, virtual trade shows).
- Ability to work flexible hours as required by event schedules, including weekends or evenings.
