Our client, a prestigious investment management firm located in Midtown, NY, is seeking an experienced Executive Assistant to provide high-level support to one of their Investment Teams. This role involves extensive calendar management for a Division Head and their team, coordinating internal and external meetings, handling incoming calls, arranging travel and managing itineraries, and processing travel and entertainment (T&E) expenses. The ideal candidate will have a minimum of five years of experience supporting senior executives in the finance industry, exceptional organizational and communication skills, and the flexibility to thrive in a dynamic environment.
Key Responsibilities:
- Scheduling and coordinating client and internal meetings, preparing meeting materials, and recording notes as needed
- Organizing domestic and international travel arrangements, including detailed itinerary management
- Handling T&E expense reports with accuracy and timeliness
Qualifications:
- Minimum of five years' experience providing executive support in an investment banking or asset management setting
- Proven ability to manage multiple complex calendars and adapt to frequent schedule changes
- Proficiency in Microsoft Outlook and Excel with strong attention to detail
