Position Overview:
As an Executive Assistant, you will be a key partner to our C-Suite Executive, providing comprehensive administrative support and acting as a dynamic thought partner in a fast-paced environment. You will handle various ad hoc projects, coordinate complex travel arrangements, and manage schedules to optimize the executive's time effectively. Your ability to anticipate needs, prioritize tasks, and maintain a high level of confidentiality will be crucial to your success in this role.
Key Responsibilities:
- Administrative Support:
- Manage the executive’s calendar, schedule meetings, and prioritize appointments to ensure efficient time management.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Handle incoming communications, including phone calls, emails, and messages, ensuring timely and appropriate responses.
- Travel Coordination:
- Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation, with attention to cost-effectiveness and time efficiency.
- Anticipate travel needs and manage travel-related documentation and expenses.
- Project Management:
- Assist with ad hoc projects and initiatives as assigned by the C-Suite Executive, ensuring timely completion and alignment with organizational goals.
- Conduct research and prepare briefs on relevant topics to support decision-making processes.
- Relationship Management:
- Serve as a liaison between the executive and internal/external stakeholders, building and maintaining strong relationships.
- Coordinate and facilitate communication across departments to ensure smooth operations.
- Confidentiality & Discretion:
- Handle sensitive information with utmost confidentiality and professionalism.
- Exercise sound judgment in managing competing priorities and maintaining the executive's focus on strategic objectives.
Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- 7+ years of experience supporting C-Suite executives or senior management in a fast-paced environment.
- Proven track record of managing complex calendars and travel logistics.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Demonstrated ability to work independently and collaboratively as part of a team.
- High level of integrity and professionalism, with a proactive and positive attitude.
