Job Description
Position Overview
The Marketing and Submissions Coordinator plays a crucial role in supporting our marketing and business development efforts. This position primarily focuses on coordinating submissions for proposals and competitions, while also assisting in the broader marketing and client relationship initiatives. The coordinator will work closely with partners, architects, and other consultants to ensure that submissions are thorough, accurate, and compelling. Additionally, this role offers opportunities to engage in more strategic marketing and business development activities, enhancing the company’s profile and fostering growth.
Key Responsibilities
Submissions, Competitions, and Awards
· Coordinate and prepare submissions, including fee proposals, bids, and tenders, ensuring compliance with guidelines and quality standards.
· Manage the download and upload of documents through various submission portals, maintaining accuracy and timeliness.
· Collaborate with partners, architects, and consultants, managing timelines and ensuring stakeholders’ input is incorporated in a timely manner.
· Design and create new graphic layouts for bid submissions, design reports, displays, PowerPoint presentations, and promotional media to align with the company’s branding.
· Gather and maintain all relevant information for submissions, including CVs, project data, references, and company credentials.
· Maintain and update trackers for project lists, submissions, and ongoing opportunities.
· Manage and archive electronic and paper files of all submissions, ensuring documentation is organized and easily accessible.
New Business Development Support
· Support the implementation of new business initiatives, working closely with partners to drive business development efforts.
· Regularly update client contact lists and ensure timely follow-up on business leads.
· Assist in researching potential clients within targeted sectors, aiding partners in maintaining and expanding client relationships.
· Collaborate with the team on outreach initiatives and explore opportunities to deepen client engagement.
Digital Marketing and Social Media
· Manage and grow the company’s social media presence, creating and posting engaging content that promotes our brand and recent projects.
· Assist in developing digital marketing content for online platforms, supporting campaigns to increase brand visibility.
Qualifications
Education and Experience Requirements
· Minimum of 2 years’ experience in a submissions, marketing, or project coordination role, preferably in the construction, architecture, or related industries.
· Strong understanding of the construction industry, particularly quantity surveying and architectural services, is highly preferred.
· Demonstrated initiative and the ability to see projects through from inception to completion.
Skills and Competencies
· Excellent communication skills, both written and verbal, with a professional demeanor suitable for client interaction.
· Outstanding time management abilities, with a proven track record of meeting deadlines and managing conflicting priorities.
· Strong attention to detail and creativity, with a proactive approach and adaptability to shifting priorities.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Publisher, SharePoint) is required. Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) is highly desirable and a plus.
